Delivery records the time spent on a job, or on running the practice. It is a record of what was done. There is nothing to submit and nothing to approve.
Before you start
The practice must have Delivery switched on in Settings → Modules, and your role must include it: see Turning modules on and off.
What you record time against
Time is recorded against headings, which the practice sets out for itself. A typical set has:
- every active project, with the same headings under each one, such as Drawings, Engagement or Site visit;
- headings for running the practice, such as Setup and settings, CPD or General;
- any others the practice has added.
If the practice has set out the work on a project, its open stages, services and tasks also appear under that project, before its headings, so you can record time against exactly what you worked on: see The work on a job.
A new project appears in the list as soon as it exists. A project moved to an inactive status leaves the list, but the time already recorded against it stays.
Whether you can record time against a project with nothing further, or must choose a heading under it, is the practice's choice.
Recording time
- Open Delivery from the rail, or the Delivery page of a project. On a project's page the picker opens already inside that project.
- Choose the heading. Drill in level by level, or search across all of them at once. The ones you used lately come first.
- Enter the date, the time and a description, then save.
After you save, the date stays and the time and description clear, since you will often record several things for one day.
Checking what you recorded
Delivery shows a week of your own entries across every heading, newest first within each day. On a project's page you see the time recorded against that project, grouped by heading, with totals for that project only. No figure combines projects.
Correcting an entry
You can edit an entry of yours. You can keep a heading that has since been retired, but you cannot move an entry onto one. Every change is kept: open an entry to see its history.
Who an entry belongs to cannot be changed. If time was recorded for the wrong person, delete it and record it again for the right one.
Other people's time
Two further permissions apply, and your practice decides who holds them:
- Seeing everyone's time. A Practice Time view next to My Time lists everyone's entries with names, and a project's page shows everyone's time on it.
- Recording for someone else. You can enter time for another member and edit their entries.
Without them you see and edit only your own.
Setting out the headings
Someone who manages the practice's settings can change the headings: add, rename, reorder and retire them, and edit what appears under every project. Open Settings → Modules → Delivery once it is on, and look for the time headings editor.
